Adding a New Employee to a Mailbox
Unless we are notified by the department or employee, we automatically add new employees to department mailboxes after Human Resources notifies us or the employee's job assignment in Banner starts.
Removing a Former Employee From a Mailbox
Unless we are notified by the department or employee, we automatically remove former employees from department mailboxes after Human Resources notifies us or the employee's job assignment in Banner ends. Just because the employee is no longer coming to work, does not mean that their job assignment has ended. Some employees may receive pay and/or benefits after they are no longer coming to work.
When you change departments or mailboxes, please notify us at email@example.com or 325-674-2530 of your move so we can update our records; we cannot get your mail to you if we do not know where you are. Don't forget to notify the switchboard of your move as well.
We do not guarantee that we will intercept all of the mail going to the old mailbox for an employee who has moved to a new department. Departments who receive mail for employees that have moved to a new department, should mark out the mailbox number and return it to us. Please do not write "Not in Box __ __ __ __" on the mail piece, as more than likely the mail piece will come right back to you.
The department is responsible for forwarding the mail of a former employee. The department can tell best what should be forwarded and what should be kept. Temporary forwarding is not available to department mailboxes or their occupants.
For mail of a former employee to be forwarded, departments should mark out the mailbox number and return it to us. We will then send it to the forwarding address, if we have received one, or return it to the sender.
An employee leaving ACU may give us a permanent forwarding address:
- In person at our window during regular business hours.
- By printing out a Mailbox Status Form (PDF file, 46 KB), completing it and mailing it to us. We must have an original signature on the form, therefore we cannot accept faxed or emailed forms.
- By filling out a postage free Change of Address Notice at any post office.
You may use any of the above methods to change a forwarding address you previously gave us.
How We Forward Your Mail
When you close your mailbox permanently and provide a forwarding address, we will forward your U.S. Mail for 12 months according to Postal Service forwarding regulations. Magazines and newspapers (Periodicals class) can only be forwarded for 60 days, afterwards the publisher will be notified of your new address.
Shipments via the small package carriers (FedEx, UPS, etc.) will be returned to the carrier with your new address for 12 months. Campus mail will be returned to the sender with your new address for 12 months.
After 12 months all mail and shipments will be returned to the sender marked "Attempted – Not Known."
